Primary Purpose of Position
This position serves a dual role in providing direct financial management plus compliance and administrative support to the Data Trust as the Business Services Coordinator, while also providing compliance, and financial and budgetary management, and administrative support to urbanCORE and the Urban Institute.

Minimum Education/Experience
Required Minimum Qualifications:

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

University Preferred Qualifications:
Four year degree in a related business function and one year of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.

Essential Job Duties
  • Primarily serves as a liaison between the Data Trust and others on campus as well as providing administrative support for the Data Trust’s day to day functions, specifically assisting the Data Trust Associate Director
  • Additional responsibility is to coordinate execution of specific compliance materials for Urban Institute’s (UI) externally funded projects (data security, etc.) specifically as it relates to the 501 ( c ) (3) Charlotte Regional Data Trust (Data Trust).
  • Work closely w/ UI Executive Director, other program leaders of UI and the Data Trust, along with the research team to ensure compliance is maintained within the policies & procedures of the Data Trust.
  • Position significantly contributes to coordination of external events, such as Data Trust Board meetings, with focus on managing event budget & coordinating logistics.
  • Organization and management of event files are vital. In general, must be familiar w/ all records management policies; Occasionally maintains faculty/staff personnel docs, requiring knowledge of state, Foundation, Univ & various federal & state agency rules & regulations;
  • May process electronic personnel actions & EHRA/SHRA documents; Proficient in specific aspects of Banner, including Banner Finance and Banner HR, to maintain accurate records.
  • Provides support for day to day office functions including general record keeping; supports urbanCORE admin team & Business Officer.
  • Assist UI Executive Director, Data Trust Associate Director, and urbanCORE Business Officer as well as other administrative staff with preparation for meetings.
  • Tasks may include financial and personnel transactions such as budget modifications/changes, and financial transactions such as direct pay requests, travel reimbursements, purchase orders, account payable, etc.
  • The position requires attention to detail and flexibility due to competing deadlines and priorities.
  • Maintain a working knowledge of all department and university policies, procedures, systems, and technologies.
  • Tasks may also include: liaison to unit’s Data Security Officer (DSO) to ensure submission and DSO approval of data security plans; collect & analyze info & prepare reports as required using software such as MS Office, Google Suite & Adobe. Familiarity w/ databases (Niner Research, Banner, etc.) to maintain accurate compliance, legal & financial records. Knowledge of all appropriate Univ. compliance procedures. Assist researchers to comply w/ project reporting requirements and to provide accurate/timely closeout documents as needed.

Departmental Preferred Experience, Skills, Training/Education
  • Four year degree in a related business function and one year of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.
  • Experience with website editing.
  • Experience with taking of minutes.
  • Strong working knowledge of University Systems (i.e. BANNER, e-procurement system, Archibus, Grants and Contract Research software, etc.) is preferred.
  • Intermediate work experience/knowledge of Google/Microsoft Office suite.
  • Adaptable and flexible in a fast-paced environment with competing deadlines; ability to manage a high level of volume that is detail-oriented.
  • Work with a diverse population and organize and prioritize work in a fast paced, deadline driven environment.
  • Demonstrated ability to multi-task.
  • Demonstrated ability to maintain confidentiality and exercise independent judgment.
  • Strong written and verbal communication skills.
